Welcome to AH Cares LLC, operating as AH Events (event décor and rentals) andAH Crafted (custom fabrication). By booking our services, renting our equipment, or commissioning a custom build, you agree to the terms below. The specifics of your project — scope, price, and timeline — are always confirmed with you in writing.
Event Rentals and Services (AH Events)
These terms govern the rental of equipment and event services by AH Events to you, the client. This is a plain-language summary; the agreement you sign for your event governs the specifics.
1. Booking and Financial Terms
- Deposit: A 50% deposit is due at signing to reserve your date; it applies toward your total.
- Balance Due: The remaining balance is due by noon on the day of your event (or upon delivery), as set in your contract.
- Payment Method: Payment is by Zelle (no fee), with the details provided on your invoice. We do not accept credit or debit cards.
- Quote Validity: Quotes and contracts are valid for 10 days; after that, current pricing may apply before we countersign.
2. Cancellation and Refunds
- 30+ Days: Cancel 30 or more days before your event for a full refund, less any documented, non-recoverable costs already incurred for your event (such as custom materials ordered or subcontracted services).
- Under 30 Days: The deposit is forfeited; anything you have paid above the deposit is refunded, less only documented costs that exceed the deposit (so nothing is counted twice).
- Free Date Change: One date change is free with at least 21 days' notice, subject to availability; a change requested later is treated as a cancellation.
- Non-Refundable Materials: Once materials or supplies (such as vinyl) have been purchased specifically for your event, those costs are non-refundable, regardless of when you cancel.
3. Delivery and Installation
- Venue Permission: The Client is responsible for verifying and securing the venue’s permission for installation. AH Events is not accountable if a venue denies delivery or installation.
- Surface Preparation: For vinyl installations, the Client must ensure the venue provides a clean, flat, and properly secured floor surface before the scheduled installation time, unless otherwise specified in the contract.
- Pickup Logistics: The Client must ensure the venue allows at least one hour after the event for equipment pickup.
- Late-Availability Fee: Standard removal is included through midnight; work after midnight is billed at $100 per hour. If the equipment is not made available for pickup at the scheduled time, a fee of $100 per hour applies (capped at one day's rental fee) to cover our crew and scheduling costs.
4. Usage and Safety
- Permitted Use: Equipment must be used only for its designed purpose and in a careful manner.
- Prohibited Substances: Food, liquids, sharp objects, and hazardous materials are strictly prohibited on flooring and equipment.
- Tuk-Tuk / Auto Rickshaw: A maximum of 3 people or 600 lbs. is permitted at any time. Running, jumping, or playing on the equipment is prohibited.
- Glass Floor: A maximum of 2 people or 500 lbs. is permitted on glass equipment at any time. Running, jumping, or playing is prohibited.
5. Liability, Damage, and Insurance
- Risk of Loss: You are responsible for the equipment from the completion of installation until we begin removal, except for loss caused by our own negligence, a defect in the equipment, or events beyond anyone's reasonable control.
- Damage: Damage beyond normal wear is billed at the actual, documented cost of repair. If an item cannot reasonably be repaired, you are responsible for its replacement value as listed in your contract, and never more than that.
- Insurance: AH Events carries commercial general liability insurance and provides a certificate to your venue on request. You are not required to carry your own insurance for a standard booking; a certificate may be requested only for certain corporate, multi-day, or high-value bookings.
- Limitation: Our total liability for a booking is limited to the amount you paid for it, and neither side is liable for indirect or consequential losses. This does not limit responsibility for injury caused by negligence. Your signed contract sets out the full terms.
6. Content and Advertising Rights
We photograph and film the installed décor and the finished setup for our portfolio and social media. If you would prefer we not use images that personally identify you, just let us know and we will keep it to the décor and the space. We do not feature identifiable guests without their consent, and we do not record audio.
Custom Fabrication (AH Crafted)
These terms govern custom builds, props, and keepsake décor commissioned from AH Crafted — where thoughtful design meets skilled craftsmanship, “Custom by Design. Crafted by Hand.”
1. Quotes, Booking, and Lead Times
- Quote Validity: Quotes are valid for 10 calendar days from the date issued. Pricing, availability, and terms may change after this period unless a deposit is received to secure the booking.
- Confirmation Deposit: A 50% deposit is required to confirm a booking and move the project into the design and production phase.
- Final Payment: The remaining balance is due in full at the time of pickup or delivery.
- Lead Times: Typical lead times run 2–8 weeks depending on complexity, and are estimates rather than guarantees. Rush options may be available on select projects; booking early helps secure your date.
2. Payments
- Accepted Methods: Payment is by Zelle (no fee), with details provided on your invoice. We do not accept credit or debit cards.
- Taxes: Sales and/or use tax is included where required.
3. The Bespoke Build Process
- Intentional Design: Each piece — custom signage, carts, backdrops, and more — is precision-fabricated from various woods chosen for the project. As a natural material, minor variances in grain, texture, or edge absorption may occur; these are characteristics of artisanal fabrication, not structural defects.
- Design Approval: Digital proofs or sketches may be provided for custom builds. Approval of a proof constitutes a final order for production.
- Non-Refundable Materials: Once materials or supplies for a build have been purchased, those costs are non-refundable and are deducted from any payments made, regardless of project changes or cancellation. The Client acknowledges these purchases are made specifically for their project and cannot be repurposed.
4. Cancellations
A fabrication cancellation can be accommodated only if (a) materials have not yet been ordered, (b) no subcontracting has occurred, and (c) written notice is given at least 30 days in advance. Otherwise the deposit is forfeited, along with any non-refundable material costs described above.
5. Usage and Care
- Proper Use: The Client is responsible for ensuring custom props and equipment are used in a good and careful manner.
- Prohibited Substances: To preserve the integrity of the build, liquids, foods, sharp objects, and hazardous materials that can scratch, tear, melt, or destroy the material are not permitted on the equipment.
- Safety and Assembly: It is the Client’s responsibility to ensure guests use the equipment properly to avoid injury or claims. Our modular systems are designed for intuitive, secure assembly; failure to properly align and lock components may compromise structural integrity. AH Crafted assumes no liability for damage or injury resulting from improper assembly or unauthorized modification of the interlocking system.
6. Liability and Damage
- Casualty Value: “Casualty Value” refers to the market value of the equipment at the end of the term.
- Loss and Damage: The Client is responsible for loss, theft, damage, or destruction of the equipment from any cause.
- Repair Fees: Equipment returned in a state requiring repair is billed at the actual cost of repair, not to exceed the Casualty Value.
- Total Loss: In the event of a total loss, the Client must pay the full Casualty Value.
- Weighting: All arches and props must be secured with appropriate weight or ballast (sandbags or base weights) when in use, especially in high-traffic areas or outdoor environments. AH Crafted is not liable for structural failure due to improper weighting or environmental factors such as wind.
- Assumption of Risk: By using our products, the Client assumes all risk associated with transport, setup, and public display. AH Crafted is not liable for incidental, consequential, or physical damages arising from the use or misuse of our installations.
7. Marketing and Intellectual Property
- Your Designs: You retain rights to the monograms, logos, and artwork you provide to us.
- Media Rights: AH Crafted retains all rights to produce, reproduce, edit, and publish photos, videos, and sound recordings of the custom builds and venue during the term for advertising and social media. The Client waives any right to compensation, royalties, or approval of this content.
- Proprietary Patterns: AH Crafted’s proprietary patterns are its exclusive intellectual property. Unauthorized reproduction, digital scanning, or third-party fabrication of these designs is strictly prohibited and protected under copyright law.
- Design Release and Exclusivity: By default, AH Crafted retains ownership of all custom fabrication files. Clients may purchase an Exclusive Design Release (12 months) for a fee of 50% of the project total. This prevents AH Crafted from reproducing the exact digital design file and cut path for any other client for 12 months. It does not prevent AH Crafted from building items of similar height, general geometric shapes, or standard architectural styles for other clients using a different design file.

These terms are governed by the laws of the State of Illinois.
